Materials cost €500 and labour €300, but those €800 alone do not determine a sustainable price. Other expenses enable the job without becoming a component delivered to the client. Uncertainty can also increase time or consumption.
Distinguish direct costs, overheads, risk and profit. You need not show each as a client-facing line, but account for them internally and know where they are already included.
Costs attributable directly to a job
Materials, person-hours, dedicated hire and specific transport can be linked directly to work. Record quantities and sources. Travel for one delivery differs from annual vehicle management.
For professionals, this may mean analysis time, meetings and resources for a project. For cleaners, planned hours and consumables. Classification should help calculation rather than become an abstract exercise.
Allocate overheads consistently
Premises, organisation, software, tool maintenance and administration serve multiple jobs. Spread them over billable hours, activity volume or another checkable basis. Choose one suited to your work and update assumptions as capacity changes.
Illustrative annual overheads of €12,000 over 2,000 productive hours give €6 per hour. A ten-hour job receives €60. If productive hours fall to 1,500, allocation rises to €8 an hour.
Do not treat an example percentage as a universal standard. A warehousing retailer and a remote consultant have different structures. Use your organisation's data.
Contingency is not a second profit allowance
Risk concerns possible deviations: difficult access, incomplete information, variable consumption or uncertain installation time. First reduce it through checks and clear terms. Adding a percentage cannot replace a missing site visit.
For remaining uncertainty, consider a justified internal allowance or a part awaiting confirmation. A moderate defined risk may be estimated; unknown work may need further checking. Do not present a final total when the basis is still too uncertain.
An internal calculation example
Suppose direct cost is €800 and allocated overheads €100: full cost €900. Add €50 for a documented risk, making a €950 base. With 20% markup, price becomes €1,140. The €190 uplift is not a 20% margin on price.
If the risk does not occur, actual results may improve; if costs rise further, results may worsen. Actual figures assess estimate quality. A difference calculated before work is not “certain profit”.
Check for duplication
An hourly rate may already include vehicles, tools and organisation. A complete work item may include installation and transport. Before adding another uplift, check what was considered earlier.
Make a short internal list: cost, allocation method and where it enters the calculation. Without knowing where an expense is allocated, you can forget it or count it twice. A clear method improves later quotes.
Present the result clearly
Show understandable products and services at selling prices. Describe separately priced delivery where applicable. Do not hide internal expenses in nonexistent activities or turn them into confusing charges.
Clarify conditions changing work: different materials, new quantities or outstanding checks. Assess contractual clauses and price changes for the actual case. Economic calculation alone does not establish what can be charged.
Learn from completed work
Compare planned hours and purchases with actual results. If an expense recurs, include it in normal estimating rather than calling it unexpected. Sustainable pricing depends on ongoing improvement.
A recurring expense is no longer unexpected
If every installation needs half an hour of warehouse preparation, include it normally. If each cleaning job needs an initial visit, organise that within the service. Calling these activities contingency obscures capacity and sustainable price.
Differences caused by missing information call for better data collection. Knowing beforehand that a room is occupied can change preparation and scheduling. Compare causes across completed jobs as well as financial differences. One extra question at first contact may help more than a generic uplift on every offer.
