Product catalogues and quotes: stop rewriting descriptions and prices

Prepare reusable product and service items, checking descriptions, prices and conditions before using them in another offer.

Repeatedly writing the same description invites needless differences: forgotten accessories, changed units or old prices. A useful catalogue starts from checked items you adapt to the case rather than old documents.

Even small service businesses can catalogue common activities. Item quality matters more than catalogue size: explain when an item applies and what it includes.

A reusable item has defined scope

Products need models or characteristics, useful codes and units. Services need results, inclusions and conditions. “Initial configuration of one workstation on available infrastructure” is more reusable than “technical work”.

Keep client-specific locations, contacts and conditions in the quote rather than standard descriptions. For genuinely different work, consider a separate item instead of stretching the same wording.

Products and services share the method

Retailers may catalogue equipment, accessories and configuration; maintenance providers inspections, parts and work; consultants analysis, meetings and deliverables. Pieces, hours and lump sums need different checks.

Define outcomes for lump sums and clear units for quantity items. A price already including materials and installation cannot be reused as supply only without recalculation.

Prices need a review date

Keep sources and dates internally, especially for variable products. Frequent catalogue use does not update prices. Recheck unstable items before new offers.

Cost differs from selling price. If software stores only commercial prices, retain internal calculation elsewhere. Do not infer purchasing, stock or profitability functions from a catalogue.

PreventivOk's personal catalogue

PreventivOk's personal catalogue includes description, code, unit, price and item origin. Items can derive from quotes, with synchronisation logic. Reuse depends on supported features and clients; check your version's workflow.

Linked items may use catalogue reference prices. Do not assume every price typed into a linked quote line freely overrides it, or that catalogues are always independent from source quote lines. This matters for personalised offers.

A better description example

“Installation €150” leaves components, access and tests undefined. “Installation and initial configuration of one device, with network and power already available, including one functional test” describes a standard service. Still check price against actual time and context.

For three devices, identify repeated and shared tasks rather than multiplying every line by three. New cabling violates the standard item's assumption: assess it and create distinct work.

Keep the catalogue organised without duplicates

Search for an existing equivalent before adding an item. Distinguish real variations from different names for the same service. For obsolete descriptions, check the effect on existing offers and retain shared PDFs.

Automatic updates to previous offers are not promised when editing the catalogue. Check each quote independently and keep the actual client-received version.

Start with this week's work

Build a small group of common items and two offers: standard and with alternatives. Identify descriptions still needing explanation, improve them and then expand. This beats importing thousands of unchecked rows.

A similar item is not necessarily the right one

Search finds a starting point, not proof of suitability. Compare units, characteristics and conditions. Initial configuration is not automatically ongoing support.

If differences affect cost or result, describe distinct services. If only a client detail changes, put it in quote notes. This keeps the catalogue reusable and the offer clear. Well-written items reduce corrections but still require the correct case, even when automatically suggested.
