How often should you revise a quote? Discounts and limits

Handle changes, alternatives and discounts by distinguishing clarification from new work, identifying versions and checking margin.

First remove transport, then change a product, then prepare a version without installation. Each request seems small, yet four revisions later you have spent considerable time on an open offer. You need a way to identify changes and have them confirmed.

No revision count suits every business. Define a process instead: gather requests, distinguish errors from new choices and identify the version replacing the previous one.

Clarification, correction or new proposal?

Clarification explains an existing item. Correction fixes wrong information. Revision changes quantity, product, service or terms. Calling all three “redoing the quote” conceals causes and prevents process improvements.

If a description caused misunderstanding, fix it and check similar items. If the client's objective changes, start from the new scope. Do not simply change the total while keeping old notes and timing.

Gather changes before working

Ask for one list, especially with several contacts. “I'll gather the changes into a consistent version. Can you confirm four devices, delivery included and configuration excluded?” prevents successive revisions for the same decision.

Separate options from the main solution. Two clearly named alternatives are easier to assess than many seemingly superseding versions. State what stays the same and what depends on the selected option.

Example: removing installation

Take an illustrative €1,000 proposal: products €700, installation €200 and transport €100. Removing installation gives an €800 subtotal only if supply and delivery conditions remain unchanged.

Check whether accessories were for installation, testing was included or transport involved technical work. Removing a line may change others. Rewrite the document to describe supply alone accurately.

Calculate discounts against full cost

“Another 5%” is more than a formatting change. At €1,000 price and €800 full cost, planned profit is €200. A 5% discount reduces price to €950 and profit to €150: profit falls 25%, not 5%. These figures are before taxes.

Consider reduced scope, another configuration or more efficient operating conditions. Do not assume a payment method always creates savings or apply percentages without checking the affected lines.

Define preparation limits

For complex proposals, agree what analysis includes and what new work requires separate assessment. An extra visit, design or technical sizing is not necessarily a PDF correction.

Communicate limits before work accumulates. “The proposal includes an initial assessment; if site count or requirements change, we will review the work needed” is clearer than charging after many unagreed revisions. Contractual effects depend on the case.

Keep versions actually sent

Before editing, retain the previous PDF and accompanying message. Give the new proposal a recognisable reference and say which one it replaces. “Final definitive 3” does not explain the decision sequence.

PreventivOk supports editing quotes; this does not imply a verified duplication function or an automatic archive of every revision. Organise sent-version retention in your own tools. Updating a document is different from evidence of the client's choice.

Finish with a precise question

Ask for confirmation of final scope and version. If choices keep changing, pause calculation to clarify the objective. A coherent offer comes from a sufficiently defined decision rather than the largest number of PDFs.

Two alternatives should not become five confusing versions

Present a main solution and alternative using the same item categories. If one includes configuration and the other excludes it, show that in the same place. Make differences visible before totals.

When a preference arrives, summarise the final combination. Do not assume “the second one” safely identifies an offer after multiple sends or forwarded messages. Cite document name, date and configuration. This prevents another revision because someone compared the first alternative with another offer's latest revision. Retaining sent files makes checking possible.
