Italian regional price lists: how to use them in a quote

Read codes, units and descriptions in an Italian regional price list, check included work and adapt the reference to the actual job.

You find an item in a price list that seems to match the requested work. Before multiplying its price by square metres, read the full description. It may include materials, installation and ancillary work, or assume conditions different from your job.

This guide concerns external reference documents published by Italian regional authorities. PreventivOk does not currently provide online regional price-list browsing. Its personal catalogue has a different origin and purpose from an official price list.

What to look for in the document

A regional price list collects reference items and prices for specified work. To interpret it, you need the edition, region, explanatory notes and individual descriptions. The price alone does not show included services or how it was built.

Obtain the document from the publishing authority's official website and check updates and usage guidance. For public procurement or assignments with specific requirements, follow applicable documents and the responsible professional's advice. A commercial guide cannot determine the correct edition for every situation.

Read an item without double-counting costs

Check code, description, unit and conditions. For supply-and-install items, do not automatically add labour for the same work again. A materials-only item may require separate installation costing. Find the answer in the wording and notes rather than guessing from the title.

  • Which materials and characteristics are specified?
  • Is the unit m², metre, piece, hour or another measure?
  • Which ancillary tasks are included?
  • What conditions or quantities are assumed?
  • Are there exclusions or references to edition notes?

Keep the complete reference in your working records. If offering different work, write your own description without presenting the modified item as identical to the original.

Reference price versus your quoted price

Imagine installation priced at €30 per m² for 20 m², giving a €600 reference calculation. Before using it, check substrate readiness, material compatibility, normal access and whether transport is included. These invented figures illustrate the reasoning.

A small job in an occupied room can require preparation, furniture moving and several visits. Large-volume supply can have different conditions. Your final price must support your costs and agreed scope; a published reference does not guarantee this.

When the work does not match

Do not choose an item merely because its wording is similar. Equipment with configuration and training is not adequately described as supply alone. A specialist finish may require a different process from ordinary painting. For a different case, reconstruct the service from materials, time, equipment and ancillary tasks.

If the assignment requires formal new-price analysis, use the prescribed method and documents. Even for a private commercial proposal, retain a checkable internal calculation: cost sources, quantities, hours and the method for overheads and profit.

Turn the reference into a readable proposal

The client needs to understand the result they are buying, not just a list of codes. Use the reference to build your calculation and provide a concrete description, quantity, price and relevant terms. Date and version any attached technical specification.

Do not omit a decisive limitation from the commercial description. “Installation on a suitable prepared substrate” differs from “complete flooring”. State who supplies the material and which repairs remain to be assessed.

Entering the work in PreventivOk

After checking the external reference, enter your quote items, descriptions, quantities and prices. This is not a certified import of the regional document, and does not imply regional coverage. Calculate any new price first and check the document total.

A correct description for your situation is reusable. Recheck price whenever work, supplier or offer validity changes.

Keep the original wording when shortening it

A code and short title help searching but are insufficient to assess a match. Retain the original document and its edition notes internally. When shortening a description for the quote, preserve conditions affecting the service.

For example, omitting “on a prepared substrate” can suggest preparation is included. Leaving out a material characteristic can make a different product appear equivalent. A summary should help the client without changing technical meaning. If unsure about the match, consult whoever assesses the work before using that price.

An unsuitable item does not become correct merely by changing its unit. Check description, quantity and conditions together: their relationship makes the reference useful.
