Itemised, lump-sum or unit-price quotes? Differences and examples

Detail and pricing method are separate choices. Compare lump-sum and unit-price offers, clarify quantities and define included work.

“Can you give me a lump-sum price?” does not necessarily mean “show only the total”. You can offer an overall price while carefully describing included products and activities. Equally, a list of unit prices can be unclear without stating the quantities assumed.

Separate two decisions: how much to describe and how to determine price. Detail explains the work; lump-sum or unit-based pricing describes the relationship between price and service. Always make actual conditions explicit in the agreement.

When a lump-sum price is clear

A defined service suits an overall price: for example, installing and configuring five devices at a site with an existing network. State models, accessories, installation, tests and included training even if there is one total.

The client must understand the package boundaries. “Complete system, €2,000” leaves questions about transport, ancillary work and workstation count. “Supply five devices, install on existing network, configure and deliver one training session” defines the total's scope.

If scope changes, explain whether new lines are variations or work already included. Overall price and precise description must remain consistent. Check applicable agreements for the contractual effects of changes.

When to use quantities and unit prices

A unit-price proposal can help when actual quantities need checking or the client wants to compare areas and work. State the measurement method and treatment of differences. “Estimated 40 m² at €25” must explain whether area is confirmed before ordering or measured after completion.

Illustrative example: 40 m² at €25 gives €1,000. If actual quantity is 44 m² and the agreement uses that basis, the calculation becomes €1,100. This is not automatic for every quote: it must match communicated and accepted terms.

For products sold by piece, consider minimum packs and accessories. For cleaning, hours and frequencies must describe the service rather than imply a right to change the fee without discussion.

A mixed proposal may work better

Sell equipment by quantity, installation at a lump sum and support separately. Or quote installation per square metre and transport once. Make clear which lines vary with quantities and which remain fixed.

A retailer's example: four products at €150 give €600; configuration is €200 and delivery €50. Subtotal: €850 before taxes. For five products, do not automatically multiply configuration and delivery too: reassess the services' scope.

Show useful detail without disclosing internal costs

Clients need to compare what they buy, not necessarily know purchase costs or staff wages. Show selling prices for products and services while keeping margin calculations internally.

Add detail where it affects materials, quantities, options, timing or responsibilities. Avoid splitting work into dozens of tiny lines the recipient cannot interpret. Clarity does not mean the largest possible line count.

Questions to resolve before sending

  • Does the total cover a defined scope or quantities awaiting checks?
  • Can the client remove an item without changing others?
  • Is the measurement method clear?
  • Are transport, preparation and repairs included or separate?
  • How will later changes be proposed?

Put answers in the document or identifiable attachments. Pricing method should not have to be inferred from total formatting. Detailed lump-sum and unit-price proposals can both be professional when these conditions are clear.

A fixed total before measurements are confirmed

Before offering a lump sum, identify what makes the result sufficiently defined. If area is estimated, offer a verification stage or state assumptions explicitly. Relabelling “unit price” as “lump sum” does not resolve uncertainty.

The same applies to supplies with undecided models or workstation counts. A fixed total needs scope precise enough to calculate. For immediate comparisons, prepare distinct scenarios based on explicit assumptions, with consistent quantities and services. Decide price together with what you are selling.

PreventivOk supports item descriptions, quantities and prices. State the agreed commercial pricing method in notes; the software does not decide whether an offer is lump-sum or unit-priced. Create your next quote with PreventivOk.
