A supplier updates prices while the client decides, or a confirmed job starts later. Before changing totals, retrieve the document, dates and terms: the process depends on what was proposed and agreed.
This guide suggests organisational steps, not when unilateral price changes are allowed. Legal effects depend on agreements and circumstances. Seek professional assessment for significant commitments.
Identify what increased
Collect old and new supplier quotes, affected product and validity date. Distinguish cost increases from model or quantity changes. “Prices have risen” does not explain a variation.
Check availability and delivery too. A cheaper unavailable product may not solve scheduling. Verify alternatives' characteristics, compatibility and linked services before quoting them.
Open offers: check existing proposed terms
Review validity, communication and commitments. An unconfirmed proposal is not necessarily changeable at any time. If updating, identify the new version and explain differences.
One operational message is: “Before confirmation, I rechecked supply. The specified component has a new supplier quote; here is the updated proposal with the difference highlighted and a new validity period, for review before proceeding.” Use it only after checking the relationship and terms.
Confirmed offers: do not overwrite the agreement
Retrieve the document covered by acceptance. Increased costs do not automatically authorise a higher price. Check relevant clauses and obtain support when needed. Do not silently edit the app and hope a new PDF becomes an agreement.
Explore verified equivalent products, another schedule or a newly proposed configuration. None should be imposed without assessing existing agreements.
A clear numerical difference
Take an illustrative offer: materials €600, service €300 and transport €50, subtotal €950. Materials increase €60. If legitimately reformulated and agreed, the updated subtotal is €1,010 with service and transport unchanged.
Do not raise every line 10% when only material changed. Check whether another product needs different accessories or time; that is more than a purchasing-price change. These teaching figures precede applicable taxes.
Requested variations differ from supplier increases
A higher-specification product changes service scope; the same product costing more changes your cost base; more units change volume. Recording causes supports version comparisons and next-step decisions.
Keep the old proposal and identify updated quantities, prices and conditions for each change. A concrete explanation beats “adjustment”. Clients should recognise what they are assessing.
Reduce risk in future offers
Check supplier quote duration before setting yours. Distinguish decision period from start date. For distant deliveries, assess price and availability risks with suppliers and agreement advisers. An internet clause does not automatically solve this.
Review unstable internal price-list items regularly. PreventivOk's personal catalogue is not a live supplier connection. Reused items still need checking for the current job.
Finish with a consistent document
After selection, update items, notes, timing and validity rather than only total. Keep decision communication. Version control makes increases manageable without losing the original reference.
An alternative product is more than a new price
Verify characteristics, accessories, compatibility and services before substitution. Cheaper equipment may need more configuration or different delivery time; another finish may change installation. Do not claim whole-job savings from a supply saving without recalculating.
Show changes against the previous proposal and clearly identify configuration. For confirmed offers, follow applicable agreements. Connect the problem, options and next step rather than sending only a higher total. Retain the response referring to the selected alternative before proceeding.
